It gets said a lot. Often by people trying to sell something. And the honest answer is that most agents have heard it, tried something, seen underwhelming results, and quietly filed the idea under things that sound better in theory.

So, is it true? Is there actually meaningful value sitting in most estate agent CRMs, or is it one of those ideas that works in a webinar and falls apart in the real world?

The answer is yes, but with conditions that most of the people making the claim never bother to explain.

Here is what is genuinely true. Inside most agency CRMs are people who made contact at some point, went quiet for reasons that had nothing to do with the agency, and are now considering a move again. For example, the vendor who asked for a valuation eighteen months ago and decided the timing wasn't right, or the landlord who paused when interest rates changed, or the buyer who stopped responding after two viewings and has just restarted their search.

Those people exist. In a CRM with several years of history and thousands of contacts, a meaningful number of them will be active in the market at any given time. That's not a theory. It's a function of how the property market works. People don't stop thinking about moving permanently. They pause, reassess, and come back.

The question isn't whether those people are in your database. They almost certainly are. The question is whether you can identify them before someone else does.

Why most reactivation attempts don't work

<br>

The reason most agencies have tried database reactivation and been disappointed has very little to do with the quality of their data. It has almost everything to do with the method.

The standard approach treats all database contacts as roughly equivalent - a broadcast email goes out to the whole list, or a negotiator gets asked to work through old records on a quiet Friday. The result is a low response rate, a handful of conversations that go nowhere, and a general conclusion that the database isn't worth the effort.

But that conclusion is wrong, and the method is why. A broadcast email sent to everyone in your CRM, regardless of where they are in their decision-making, will get a response rate that reflects the fact that most of your contacts aren't ready to move right now. That doesn't mean none of them are. It means you've used a blunt tool to search for a specific thing.

The agencies that consistently generate business from their existing databases aren't running bigger campaigns. They're doing something more precise. They're identifying the contacts who are showing signs of being active in the market right now, not the contacts who happened to open an email, and they're calling those people with a specific reason to be in touch.

That's a fundamentally different activity to a reactivation campaign. It's the difference between prospecting intelligently and prospecting by volume.

How do you know if your database has enough in it to be worth it?

The truthful answer is that you find out by looking properly, not by guessing. A CRM that has been in use for eighteen months or more, with a few thousand contacts and some genuine history of enquiries, valuations and applicant registrations, will almost certainly have active contacts in it right now. The size of the opportunity depends on the depth of the data and how much of the market the agency covers, but for most multi-branch agencies the number is significant.

The agencies most likely to be disappointed are the ones with a thin database, a very recent CRM migration with limited historic data, or a team that won't act consistently on the contacts that are surfaced. Not because the system doesn't find them, but because finding them is only half of it. Someone still has to pick up the phone.
